Purpose:

In January 2020 Ipswich Borough Council entered into a contract with Xn Leisure to provide the Leisure Management System for Sport and Leisure for £85,793. In March 2020 the Covid pandemic hit and the result of this was a greater reliance on technology and virtual purchasing. This required a large number of upgrades to the system that has meant the spend on the contract has increased. As a result, with 1 year left on the contract, Ipswich Borough Council will go overspent on the contract.

Decision:

To increase the value of the contract by £25,000 to £110,793 to ensure the contract isn’t overspent.

 

Reason: As a result of the Covid pandemic and Government restrictions and guidance on being able to undertake certain services in a certain way, the Leisure Management System needed to be upgraded. As a result online bookings, online payments, virtual check-ins, back office functionality to enable working from home and the subsequent training on these systems for staff needed to be purchased meaning a greater than expected spend on the contract.
